How it works
For each day, the calculator takes the end time, subtracts the start time, then subtracts the break. A shift that crosses midnight, such as 10:00 PM to 6:00 AM, is counted as one shift on the day it started. The daily results are added into a weekly total, shown two ways: hours and minutes (for example 7:45) and decimal hours (for example 7.75), because payroll usually multiplies your hourly rate by the decimal figure. To convert minutes to decimal, the calculator divides the minutes by 60.
If you pick a rounding option, each start and end time is rounded to the nearest 5, 6 or 15 minutes before the day is added up. The U.S. Department of Labor allows employers to round time this way as long as, over time, the rounding does not leave employees underpaid (29 CFR 785.48, Fair Labor Standards Act (FLSA)). Your employer's own rounding rule may differ from the one you choose here.
"Hours over 40" is shown because the FLSA requires overtime pay for non-exempt employees for hours over 40 in a workweek (U.S. Department of Labor, FLSA). The overtime calculator turns those hours into pay.
Worked example
Say you worked Monday to Friday from 8:00 AM to 4:30 PM with a 30-minute lunch, and Saturday from 9:00 AM to 1:15 PM with no break. Each weekday is 8 hours 30 minutes minus 30 minutes, so 8:00 hours; five weekdays make 40:00. Saturday adds 4:15. The weekly total is 44:15, which is 44.25 decimal hours, with 4.25 hours over 40.
With "Nearest 15 minutes" rounding, a clock-in at 7:53 AM counts as 8:00 AM, and a clock-in at 8:08 AM counts as 8:15 AM.
Pressing "Send hours to the hourly paycheck calculator" carries the 44.25 hours to the hourly paycheck calculator, where you add your hourly rate and state to see take-home pay.
Frequently asked questions
How do I calculate hours on a time card with lunch?
Subtract the start time from the end time, then subtract the unpaid lunch. This calculator does that for each day and adds the days into a weekly total.
How do I convert minutes to decimal hours?
Divide the minutes by 60. For example, 45 minutes is 0.75 hours, so 7 hours 45 minutes is 7.75 hours.
Can the calculator handle a night shift that goes past midnight?
Yes. Enter the real start and end times; if the end time is earlier than the start time, the shift is treated as crossing midnight and counted on the day it started.
Are lunch breaks counted as work time?
Under the FLSA, a bona fide meal period where you are fully relieved from duty is generally not work time, while short rest breaks generally are (U.S. Department of Labor, 29 CFR 785.18–785.19). Enter only the unpaid break minutes in the Break field.
Is my employer allowed to round my time?
The U.S. Department of Labor allows rounding to the nearest 5 minutes, tenth of an hour or quarter hour when it averages out fairly over time (29 CFR 785.48). The rounding option here shows how a given rule changes your total.
Do I need an account to use the time card calculator?
No. There is no sign-up and no download; the calculator runs on this page.
